Job Summary
Responsible for the managing of specialized inventory supplies and pharmaceuticals located in various departments as assigned. Analyzes, suggests, and implements additions, deletions, and changes to specialized inventory levels. Maintains supportive computer systems and reports on a daily basis. Responsible for satisfying Supply Chain Logistics needs by processing and analyzing data, providing an auditable trail, obtaining conclusions and by providing recommendations. Acts as a system expert in Lawson, QSight Processing, HBS and any other inventory management system to ensure data gathering for the completion of routine reports and completed projects that impact the total Supply Chain Logistics department.Job Duties
- Assists with inventory redesign in assigned external departments.
- Involves layout and setup of supply areas and shelving, creating supply requisitions, establishing par levels, product placement, application of all pertinent signage and labeling and performance of the responsible staff in maintaining the entire order process from requisitioning to stocking.
- Analyzes par management reports and completes inventory activities required to match product usage to paring frequency in assigned areas.
- Develops and maintains appropriate par levels within the specialty inventory items to maximize yearly turn.
- Uses wireless technology to par supplies in assigned departments. Works closely with SCIS on researching new advanced inventory management technology as well as the implementation within Geisinger.
- Provides leadership in testing of all inventory management software packages utilized at Geisinger, i.e. upgrades, new releases and patches.
- Performs inventory management software packages system maintenance for handheld par accounts.
- Adds new units and departments as required.
- Researches stock outs and overstock and suggests product min and max quantities as necessary by communicating information to the inventory buyer.
- Responds to buyer inquiries for critical delivery dates. Maintains proper communications with Sourcing Specialist on items that require min and max adjustments, items that are depleted from stock and have not arrived by their due date, the need to transfer product between warehouses.
- Receives, Picks, and packs supply orders from auto-generated requisitions, supplemental requisitions and equipment issue forms.
- Maintains logs and other charts as required.
- Verifies incoming special order stock deliveries immediately upon receipt from the Receiving Department for obvious or concealed shipping damages and shortages. Notifies the Receiving department of receipt issues.
- Refuses shipment under service conditions.
- Places all items in assigned locations, label out, and rotates supplies (FIFO) as appropriate. Creates and assembles bins and labels for each item location.
- Assists and communicates needs for re-sequencing for product PAR changes and other problems.
- Investigates assigned inventories locations for effected product upon notification of product recall.
- Removes product, replaces with unaffected product and stages affected product for return to vendor.
- Maintains a current knowledge of market conditions and trends affecting health care procurement. Maintains close liaison with group purchasing activities.
- Acts as primary Supply Chain liaison for any Qsight and HBS issue related to area of responsibility.
- Takes lead in implementing of inventory control processes and education as it relates to roll out of new areas of responsibility. Sets time lines, makes appropriate contacts, leads meetings and holds implementation group accountable to tasks and timelines.
- Works closely with vendor representatives related to area of responsibility to be sure cosigned inventory is being managed properly.
- Including product recalls, expired and near expired inventory and consignment adjustments.
- Provides monthly reports to departments of responsibility as well as finance.
- Prepares explanation of inventory variance and must be able to explain change.
- Performs cycle counts and physical inventory of assigned areas.
- Researches variances and communicates errors to prevent further variances to the assigned areas inventory.
- Distributes trauma carts, disaster carts, controlled and non controlled pharmaceuticals, supplies, equipment, medical gases, and packages from receiving and inventory locations to secured storage locations within various departments according to schedules and non-scheduled requests.
