JOB TITLE: I.S. Fiscal Management Coordinator Team Lead

Responsible for insuring the Fiscal Management team is performing all Financial and Administrative tasks in accordance with IT and Financial policies. Assists the team with resolving issues and ensures that the team is following a standard approach for maintaining data files, while still meeting the needs of the individual IT areas. Evaluates team members on an ongoing basis and conducts mentoring and training to improve team member performance. Works with minimal supervision from the IT Director.
MAJOR DUTIES AND RESPONSIBILITIES:
Provides proactive review of all IT expenses and works with the Director of FM and Contracts to provide summary reports and analysis all overall expense variations from budget.
Provides education to team and management staff related to updated policies and procedures.
Assists with the content and goal setting for the annual Care Conversations.
Coordinates and leads the preparation of the annual budget process in conjunction with VP’s, Directors and team members. Initiating new report formats and file designs, using Excel and a report writing package. Reviews processes from year to year to be sure reports coincide with updated procedures. Enters all expenses in the Kaufman Hall budget system.
Ensures all special external billings are completed timely and, in the manner, stated in the system contract with the outside party. Works with GSS Finance to setup the appropriate method for allocations for such expense.
Responsible for researching, coordinating and completing all surveys which require IT involvement across the system including the AHA annual survey, Epic Benchmark Survey, Gartner IT Assessment survey.
Reviews invoices to determine the appropriate accounting unit and expense account and prepares for final authorization.
Resolves any discrepancies that team members my encounter with outside vendors or internal processes that may delay processing. Coordinating meeting between vendors, IS management and/or Supply Chain Services.
Keeps track of all operating expenses for fiscal projects and assures costs are recorded appropriately to each project.
Retains the information from the invoices and records cost, department and project.
Monitors and updates, as necessary, on-line hardware and software departmental inventory system to ensure appropriate data is captured (this includes purchase order numbers, accounting units, vendors information and other IT requirements).
Reviews General Ledger reports and works with Finance to adjust entries.
Prepares files for uploading financial information into Lawson.
Monitors expenses and prepares accrual for Finance.
Reviews hardware and software maintenance contract terms and conditions to make sure billing is appropriate and expenses are recorded appropriately. Also ensures that contract terms are maintained within the budget files.
Prepares all documents for the lease analysis process and works with Treasury and IT Directors to ensure the analysis is completed appropriately and timely.
Participates in the hiring process and orientation and training of new staff members.
Performs all other duties as directed.
COMPETENCIES AND SKILLS:
Demonstrates strong PC skills including Microsoft Excel, Word, Outlook, a report writer and Lawson.
Demonstrates strong analytical, organizational and communications skills.
Demonstrates knowledge of IT operations and financial processes and the ability to develop reports for financial analysis
Demonstrated ability to lead coworkers and effectively interact with other personnel. Must maintain a high regard for confidentiality.
EDUCATION AND/OR EXPERIENCE:
Bachelor’s Degree in business, finance, accounting, or related field required. Minimum of two years of information systems or financial experience required.
Associate Degree in business, finance, accounting, or related field required. Minimum of four years of information systems or financial experience required.
In lieu of degree, minimum of six years of information systems or financial experience required.
